Define Clear Objectives and Desired Outcomes

Start by outlining the most important key topics you need to cover, then break them down into individual sessions with realistic time limits. Make sure to build in time for breaks, open discussion, and a proper ending to thoroughly go over what you’ve done. Along with the agenda, gather any materials, data, or presentations you’ll need so you’re not scrambling last minute or calling the office to have someone email over various files. Putting in that extra bit of prep work ahead of time can save everyone a lot of stress later, and it shows your team that you respect their time.

 

Document Decisions and Plan Follow-Up Actions

While it’s not always easy, try and have someone on hand whose role it is all day to take notes and keep track of what’s happening. This not only helps you later down the line, but also on the day if a conversation has gone off track and you need to recall something important that has been said or decided. Having your notes and achievements on the day written down also allows you to plan our next steps following your meeting so you can execute all the things you’ve discussed and not lose any progress.
